As Payroll Specialist you will own our end-to-end payroll cycle for corporate, field, and offshore rotation staff across Texas, Louisiana, New Mexico, and Pennsylvania. You will administer field per-diem and rotation day rates, reconcile benefits and 401(k) deductions, and ensure multi-state payroll tax compliance. This is a fully remote position open to candidates anywhere in the United States, with virtual coordination alongside the Houston finance team during each close week.

Core Responsibilities

  • Process semi-monthly multi-state payroll for salaried, hourly, and rotational field employees.
  • Administer field per-diem, offshore rotation day rates, and overtime in line with FLSA rules.
  • Reconcile payroll deductions for health benefits, 401(k) contributions, and garnishments each cycle.
  • Prepare and file federal, state, and local payroll tax deposits and quarterly returns (Form 941, state UI).
  • Resolve employee payroll inquiries and issue corrections, off-cycle payments, and year-end W-2s.

Requirements

  • 3+ years of full-cycle payroll experience, ideally spanning multiple states.
  • Working knowledge of multi-state payroll tax, FLSA, and garnishment administration.
  • Proficiency with a major payroll platform (e.g., ADP Workforce Now, Paylocity, or UKG).
  • Strong spreadsheet skills and meticulous attention to reconciliation detail.
  • FPC or CPP certification (APA) is a strong plus.
